Search for a digital menu board and you get two very different products wearing one name. One is a screen mounted above a counter, cabled to a media player, running signage software on a monthly plan. The other is a menu page the guest opens on their own phone after scanning a code on the table. Both get called digital menus, both end the laminating and the marker corrections, and they solve genuinely different problems. We build the second kind and not the first, so read this as a comparison written by someone with a side — one who would rather you spend money on the right thing than on our thing.
What a digital menu board actually is
A board is a broadcast surface. One screen, many people, designed to be read from several metres away by someone standing in a queue with only the time it takes the line to move. That distance dictates the design: large type, short dish names, a handful of lines per panel, prices in a column that scans in one glance. Descriptions, allergen detail and a full wine list do not fit, and trying to force them in is how boards end up unreadable.
The kit behind it is real hardware. A panel, usually a commercial-grade one rated for long daily operating hours rather than a living-room TV built for evening use. A media player or a built-in system-on-chip. A mount, cabling, a power point in the right place, and often an installer with a ladder and a drill. Then signage software on top — typically billed per screen per month — which is what gives you playlists, scheduled panels and dayparting, so the breakfast board flips to lunch at eleven without anyone touching it.
What a QR menu is instead
A QR menu has no hardware at all. You print one code — on a table card, a sticker, the window, the back of the bill folder — and the guest scans it with the camera they already carry. A fast mobile page opens. No app, no download, no store visit while the starters get cold. The cost shape is completely different: printing once, plus software, and nothing that can be dropped, unplugged or out of warranty in three years.
Because the guest is holding the screen at arm's length and is already seated, a QR menu can carry the detail a board cannot. Full dish descriptions. All 14 EU allergens and dietary badges per dish, so the floor is not answering from memory. Translations for the table of tourists at the window. Multiple currencies. And when the sea bass runs out at 20:40, you mark it sold out from your phone and it greys out live — before the next scan, not tomorrow.
One detail matters more than it sounds. Our codes encode a permanent short link rather than the menu address itself. Rename the menu, redesign it, move to a custom domain later, and the codes already printed on 60 table cards keep working. Most tools encode the URL directly, which quietly dead-links everything you printed the moment something changes.
The cost comparison, without the sales gloss
Prices vary too much by market and screen size to quote figures honestly, but the shape of the two bills is stable — and that is the part worth comparing.
- Upfront: a board needs a panel, a player, a mount and usually installation labour, per screen. A QR menu needs a print run of table cards or stickers.
- Recurring: signage platforms generally charge per screen per month, so five screens cost roughly five times one. A QR menu is priced per venue — ours is free for one complete menu, or $19 a month for multiple menus, AI translations, a custom domain and scan analytics.
- Maintenance: screens fail, players need updates, mounts loosen, and a dark board during a lunch rush is a visible problem. A printed code has no failure mode beyond someone spilling on it, and a replacement costs the price of paper.
- Updating: on a board you edit a layout and push it to screens. On a QR menu you tap the price on your phone between covers.
- Scaling: a second room means a second screen and a second subscription line — or, on the QR side, a few more printed cards.
When a digital menu board wins
Counter service, plainly. Quick service, bakeries, coffee bars, ice cream counters, food halls, cinema kiosks, anywhere the guest orders standing up and then sits down with a tray. There is no table to put a code on at the moment of decision, and asking a queue of eleven people to each scan something is worse than a well-designed board. Boards also carry the things a menu page cannot: the queue reads them passively, they light up a dark frontage from the street, and dayparting means the breakfast prices disappear on their own. If you run a counter and you were sold a QR menu as a replacement for a board, you were sold the wrong product.
When a QR menu wins
Table service, just as plainly. The guest is seated, has five or ten minutes, and is willing to read. That is when descriptions earn their keep, when a nut allergy needs an answer that is written down rather than remembered, when a table of visitors would rather read in their own language, and when a 40-line wine list can exist without dominating a wall. It is also the setting where 86'ing a dish mid-service actually matters, and where scan analytics tell you how many guests looked and when.
The other argument is risk. Trying a QR menu costs a print run; if it does not suit your room, you are out some card stock. A screen with an installer on a ladder is a decision you live with for years.
Hybrid venues: run both, from one truth
Plenty of cafés are a counter at nine and a restaurant at eight. Those places genuinely want both, and the failure mode is always the same: the price changes on the board and not on the menu page, or the reverse, and a guest notices before you do. Pick one place where the menu is authored and treat the other as a copy that must be updated in the same five minutes. In practice, authoring in the QR menu is easier, because it holds the full detail and the board only needs the headline items.
Honest limitation: we do not push data into signage platforms, and we do not sell, rent or install screens. What we can say is that a menu page is a web page, so a tablet or a smart TV browser parked on your menu address does work as a stopgap board. It is a stopgap. If guests order standing at a counter, buy a digital menu board and budget for the hardware, the install and the per-screen subscription.
